Email Marketing for Moving Companies That Books Moves

Email won't replace the phone in a moving company, but it does three jobs nothing else does as cheaply: it follows up on every estimate, it makes the booked customer feel looked after, and it brings past customers and their friends back. Here is the set of emails that does all three.

What emails should a moving company send?

An estimate email with a clear way to book, a short follow-up sequence for quotes that haven't booked, a booking confirmation, a reminder before move day, a thank-you with a review request after the move, and a few campaigns a year to past customers. Most of these should send automatically.

A follow-up sequence for estimates that haven't booked

Most unbooked estimates aren't a no. They are a "not yet". Pair each email with a call or text from the rep, and stop the sequence the moment they book or say no.

    1. 1

Day 2: "Any questions about your estimate?"

Two or three sentences from the rep, signed with their name and direct number. Restate the date and the price, and link to book.

    2. 2

Day 5: answer the usual worry

Most hesitations are price, what's included, or trust. Explain what's included, how you protect belongings, and link three recent reviews.

    3. 3

Day 10: the date is filling up

Only if it's true. Say how many crews are left on their date and offer to hold it.

    4. 4

      Day 21: close the loop

Ask plainly whether they still need help or booked elsewhere. The answer is useful either way.

    Campaigns to past customers

People move again, and they know other people who are moving. A past customer list is the cheapest source of booked jobs you have. Three to six emails a year is plenty.

    • The anniversary: "A year ago today we moved you." Ask how the new place is and mention referrals.
    • Spring and summer: peak season is coming; book early for the best dates.
    • Referral reminder: a simple thank-you for every customer they send.
    • Storage: if you offer storage, remind past customers before the holidays and at the start of summer.
    • Community news: a donation drive, a new location, a new truck. Real news, not ads.

Writing moving company emails people read

    • Send from a person, not "noreply". Customers reply to people.
    • One email, one job, one button.
    • Put the date, the price and the next step in the first two lines; most people read on a phone.
    • Use their name and their move details: date, cities, move size.
    • Keep design simple. Heavy images land in the Promotions tab.
    • Always include your phone number. Many customers would rather call.

    Staying out of spam

    • Send from your own domain, and set up SPF, DKIM and DMARC so inboxes trust your mail.
    • Only email people who gave you their address. Don't buy lists.
    • Include an unsubscribe link on marketing email and honor it right away.
    • Remove addresses that bounce.
    • Keep marketing volume steady instead of blasting your whole list once a year.

    What to measure

Opens are unreliable now that many email apps preload images, so judge emails on replies, clicks, and above all booked moves. Compare the booking rate of estimates that got the follow-up sequence with those that didn't.

    Frequently asked questions

Yes, when it's tied to the move: estimate follow-ups book jobs that would otherwise go cold, booking and reminder emails cut down calls, and a few campaigns a year bring back past customers and referrals.

Three to six times a year is enough for most movers: an anniversary note, a pre-peak-season reminder, a referral thank-you, and real company news.

The move date and arrival window, the price or price range and what it includes, how to book (one button), the rep's name and direct phone number, and a link to reviews.

Usually missing domain authentication (SPF, DKIM, DMARC), sending from a free email address, heavy image-only designs, or emailing addresses that never asked for it. Fix authentication first.

Both. Texts get read fastest and suit short, time-sensitive messages. Email suits estimates, confirmations, receipts and anything the customer will want to find again.
